“Hey Siri, ask my business”: answers in seconds, without opening a laptop

A voice assistant I built for a client's team. People press one button, ask a question out loud, and hear the answer from the business's own data — clients, deadlines, calendar and email — usually in 2 to 5 seconds. Every example here uses demo data.

The problem

The answers already existed in the business's systems: how many files went out this week, what's next on the calendar, what is waiting for a signature. Getting them meant unlocking a laptop, opening the right screen and filtering. For someone running a business from the car or between meetings, that was too slow.

What I built

  • Ask out loud — Siri, the iPhone Action Button or a double tap on the back of the phone; it keeps listening for follow-up questions
  • Answers from the business's own data — client and job statuses, counts, deadlines and who is out today, never invented
  • A morning brief in under a second: yesterday's numbers, upcoming deadlines, the day's calendar and what is waiting on you
  • Calendar that knows the time — at noon it says what's next first, then what already happened; “Am I free Friday at 2?”
  • It prepares, you decide — tasks, reminders, client texts, letters, email replies and meetings are drafted; nothing happens until you tap Confirm
  • Email replies land in Outlook Drafts, written in the person's voice, with outside addresses flagged before sending
Demo data: a real exchange (brief, calendar, a file status), the confirm step, and the safety rules.

Security, because the data is confidential

PermissionsEach phone acts as one person and sees only what that person's account can see.
Sensitive answersClient health, money or identity details are never read aloud: a one-time link opens them behind Face ID.
Email & calendarOpt-in per person, and locked at the Microsoft 365 level to the people who opted in.
ControlEvery question is logged; any phone can be switched off in one click; a daily AI spending cap.
SetupA new person scans two QR codes — install and a one-time pairing code — no typing.

Results so far

It's new, so I won't invent adoption numbers. Measured so far: answers in 2 to 5 seconds, the morning brief in under a second, and a cost of one to three cents per question. The same approach works for any business whose answers are spread across a CRM, a calendar and an inbox.

Client work, shown with permission: the client isn't named, and every screen and example on this page uses demo data — no real people or records.
